Process to Get On a Board Agenda
If you have an item you wish to present at a Board Meeting, there are two ways to do so.
1) Any interested party is always welcome to make comments during the Public Comment portion of a board meeting. Be aware that a time limit may be given. Please be respectful and keep comments constructive. The Board of Trustees cannot take action on issues brought up during public comment since they have not been properly noticed to the general public. Any response is at the discretion of the Board.
2) If you would like to make a formal presentation to the Board of Trustees, the process is outlined below.
a. Provide written supporting documentation to the Board Chair and Secretary at least 3 working days prior to the scheduled Board meeting. This information should include what you are proposing; detail any fees involved and what the fees will be used for. The information is needed in writing and in advance so that the Board will have time to familiarize themselves with the issue prior to the meeting. We also must have all items noticed with the state 24 hours in advance to be in compliance with public meetings laws.
b. Items involving fundraising should first be approved by the school body supporting such an activity such as the FSO or Student Council.
c. Items involving after school programs should first be approved by the Academic and Personal Excellence Committee. Please refer to the Supplementary School Programs policy.
d. Requests from school staff should first be reviewed and recommended by the School Leader.
e. Items are included on a Board meeting agenda at the discretion of the Board Chair.
f. Meetings of committees and the Board are typically only held monthly. It is not uncommon for items to take a minimum of 2 months to move through this process. Please begin with the end in mind.
